Roles are not permanent. People change jobs, projects end, and the person who needed full access in March may not need it in September.
Changing it
- Open Team.
- Find the person and change their role.
- Save.
The change takes effect immediately. They do not need to sign out and back in, and they are not notified by the platform, so tell them yourself if the change will surprise them.
Who can do it
Owners and Admins. Note that an Admin can change other people's roles, including promoting someone else to Admin.
Reducing someone's access
Moving someone to a smaller role takes effect straight away. If they are in the middle of something, they may hit a screen that stops working, so it is worth a word first unless you are removing access deliberately and urgently.
Two things that are easy to miss
- Changing a role does not change which websites someone can see. Those are set separately. See Limiting access to specific websites.
- Moving someone to Member removes their ability to raise support tickets. If they have been contacting us directly, they will no longer be able to.
A habit worth having
Look down the Team list once a quarter. Contractors whose work finished, colleagues who moved teams, and the agency you stopped using last year all tend to stay on the list until somebody checks.
